Administrative Assistant

About the Role:
We are seeking a highly motivated and organized Administrative Assistant to join our growing pest control company. In this role, you will play a vital role in ensuring our customers receive exceptional service, from initial contact through to post-service follow-up. You will be the first point of contact for many of our customers, and your professionalism and efficiency will be essential to our continued success.
Responsibilities:

Customer Communication: Answer phone calls, emails, and inquiries from customers. Provide clear and concise information on our pest control services, pricing, and scheduling options.

Appointment Scheduling: Coordinate and schedule pest control appointments based on customer preferences and technician availability. Ensure efficient routing for technicians to maximize productivity.

Customer Education: Educate customers on various pest control processes, preventive measures, and post-treatment guidelines. Address customer questions and concerns regarding pest issues with patience and professionalism.

Service Coordination: Liaise with field technicians to ensure timely and accurate service delivery. Communicate specific customer requirements and preferences to the pest control team.

Record Keeping: Maintain detailed and accurate records of customer interactions, appointments, service history, and pest control activities. Update customer information in the company database to ensure accuracy.

Issue Resolution: Resolve customer complaints or concerns in a professional and timely manner. Collaborate with other departments to address complex issues and ensure customer satisfaction.

Billing and Payments: Manage billing inquiries, provide invoices, and process payments according to company policies. Coordinate with the finance department to ensure accurate billing practices.

Follow-up: Follow up with customers post-service to gauge satisfaction and address any lingering concerns. Conduct routine check-ins for ongoing service contracts.

Sales Support: Assist the sales team by upselling or cross-selling additional pest control services. Provide information on promotions, discounts, and service packages to enhance customer experience.

Documentation: Create and maintain documentation related to customer service processes. Generate reports on customer feedback and service performance to identify areas for improvement.

Compliance: Ensure all customer interactions and service activities comply with industry regulations and company policies. Stay up-to-date with the latest changes in pest control regulations.

Team Collaboration: Collaborate effectively with other Customer Service Representatives and team members to achieve departmental goals. Participate in training sessions to stay informed about the latest pest control techniques and best practices.
Additional Responsibilities:

Organize office space and support colleagues in optimizing procedures for increased efficiency.

Perform data entry tasks to ensure accurate record keeping.

Assist with invoicing, reconciliation, and inventory management functions.

Sort and distribute communications in a timely manner

Create and update records to maintain data accuracy and validity.

Monitor office supply levels and handle shortages to avoid disruptions.

Resolve minor office-related malfunctions and respond to requests or issues.

Maintain professional and trusting relationships with suppliers, customers, and colleagues.

Perform receptionist duties, including answering phone calls, taking information, and logging data into the CRM system.
Skills and Qualifications:

Proven experience as a back-office assistant, office assistant, or in another relevant administrative role.

Working knowledge of office equipment and software applications (MS Word, Excel, PowerPoint preferred).

Thorough understanding of office management procedures and best practices.

Excellent organizational and time management skills.

Strong analytical abilities and aptitude for problem-solving.

Excellent written and verbal communication skills with the ability to convey complex information in a clear and concise manner.

Pay: $40,000.00 - $60,000.00 per year
